Purposes, Legal Basis for Processing Personal Data
Personal data obtained and processed based on the legitimate interests of the Institute:
- Recording entries (visits) of individuals and vehicles to the premises and workplaces of the Institute, including: name, surname, identification document number or service document, license plate number.
- Monitoring access to the Institute's premises and parking lot, monitoring the area and designated internal spaces within the Institute building using a camera system for the purpose of preventing, detecting, and investigating criminal activities, protecting property and employees, including image recordings capable of identifying individuals. If an individual refuses to provide the Institute with the personal data necessary for recording visits, the Institute is not obliged to allow such person access to its premises.
Personal data obtained and processed based on specific legislation:
- Processing requests, concluding and recording contracts related to the Institute's activities.
- Managing accounting documents.
- Processing requests under Act No. 382/2004 Coll. on experts, interpreters, and translators and on amending certain laws, within the scope of the law.
- Recording incoming and outgoing mail, including: name, surname, title, address, email address, information provided in received and sent documents.
- Handling complaints under Act No. 9/2010 Coll. on complaints, within the scope of the law.
- Processing requests for access to information under Act No. 211/2000 Coll. on free access to information, within the scope of the law.
- Fulfilling obligations under Act No. 307/2014 Coll. on certain measures related to reporting anti-social activities, within the scope of the law.
Source of Personal Data Acquisition
The Institute obtains data directly from the data subject.
Retention Period of Data
The Institute retains personal data related to the data subject in the visitor register for a period of 3 years, image recordings from the camera system for a maximum of 14 days, and records of incoming and outgoing mail for 10 years. Upon the expiration of the retention period, the Institute ensures the immediate destruction of personal data.Provision, Accessibility, and Disclosure of Personal Data
The personal data of the data subject will not be provided or made accessible to third parties, except in cases where this obligation is imposed by specific legislation (e.g., authorities involved in criminal proceedings).The Institute does not disclose the provided personal data.
Cross-Border Transfer of Personal Data
The Institute does not carry out cross-border transfers of personal data to third countries.Rights of the Data Subject in Personal Data Processing
The subject has the right, based on a written request from the operator, to request:- Confirmation of whether personal data concerning the data subject are being processed or not.
- Information about the processing of personal data in a clear and understandable form, including: identification details of the controller and processor; purpose of personal data processing; list or scope of processed personal data; information on the voluntary or mandatory nature of providing the requested personal data, duration of consent or notification of the legal requirement to provide personal data; third parties to whom personal data may be provided; recipients who may have access to personal data; form of personal data disclosure if it is to be published; third countries to which personal data may be transferred.
- Copy of processed personal data.
- Correction or erasure of inaccurate, incomplete, or outdated personal data that are subject to processing.
- Erasure of personal data when the purpose of processing has ended.
- Restriction of personal data processing.
- Transfer of personal data to another controller, if technically feasible.
- Objection to the processing of personal data based on the legitimate interests of the Institute.
- Filing a complaint with the supervisory authority, which is the Office for Personal Data Protection of the Slovak Republic.
